📃 Registration Rules
Registration for Responsible Incentive Travel Day 2025 is mandatory and takes place exclusively via the online form. Due to limited capacity, the organizer reserves the right to select participants, giving priority to those involved in the incentive travel industry.
📅 Registration period
Registration is open from February 28, 2025, to April 24, 2025, or until all spots are filled. Each agency/organization may register a maximum of two participants.
✅ Confirmation of Participation
Once the registration form is submitted, the organizer will send a confirmation email to the participant.
A few days before the event, participants will receive a QR code via SMS, which will serve as their entry ticket.
💰 Who Can Attend for Free?
Free participation is granted to:
✔ Active members of the SITE Association – who have paid their dues for 2025
✔ Representatives of Polish incentive agencies
✔ Polis DMCs specializing in inbound incentive travel
✔ Speakers, panelists, and event partners (according to sponsorship agreements)
✔ Corporate clients responsible for organizing incentive travel in their companies
✔ Representatives of MICE industry media
✔ Representatives of airlines cooperating with the incentive travel industry in Poland

💰 Registration Fees
✔ 300 PLN (gross) – for registrations submitted by March 31, 2025 (Early Bird rate)
✔ 400 PLN (gross) – for registrations submitted from April 1, 2025 onward
The fee includes conference participation, coffee breaks, lunch, and a networking cocktail.
💸 Payment Details
After confirmation of paid registration, the participant will receive a proforma invoice by email.
The fee must be paid within the time specified on the proforma.
The VAT invoice will be sent after receiving the payment to the email address provided in the registration form.
❌ Changes & Cancellation Policy
Cancellations must be sent via email to kontakt@responsible-incentivetravelday.pl
Free cancellation is possible until April 15, 2025
Cancellations made after April 16, 2025, or no-shows, will incur a fee of 400–600 PLN (gross)
Participants may transfer their registration to another person from the same organization (must notify the organizer by April 25, 2025, at 12:00 PM)
